How to get an editorial account in OJS

If your journal is new to YDJ, YDJ will invite one or more managing editors to create an account in OJS. This will give your editorial team give initial access to the system.

If your journal has already been established with YDJ, your predecessor should create your account and manage your permissions. YDJ will only get involved if there are extenuating circumstances (e.g., if prior editors cannot be located).

In either case, the editors are responsible for creating editorial accounts and managing permissions. Starting in OJS 3.5, editors no longer have the ability to create or edit user accounts outright; instead, editors invite new users and invite existing users to new roles.

Unless you configure OJS otherwise, users can create accounts and assign themselves the role of Author and Reviewer without editor involvement.

Accessing your profile

From the front-end view of OJS, you can access your profile settings by clicking your username in the farthest top right corner of the screen, then clicking View Profile.

From the dashboard view of OJS, you can access your profile settings by clicking the silhouette icon in the farthest top right corner of the screen, then clicking Edit Profile.

You have limited access to your account’s roles through the profile. To view and edit the roles associated with your account, use the Users & Roles settings.

Managing notifications

OJS can send a lot of notifications. Some are important but some may be extraneous.

To do this, access your profile (per the instructions above) and open the Notifications tab. As an editor, you probably want to keep all the Public Announcements, and Reviewing Events, and Submission Events. However, Statistics Report Summary is not necessary. 

Warning

If you select “Do not send me an email for these types of notifications,” notifications will only be displayed in OJS. YDJ does not advise using this option. 

Connecting your ORCID ID

You can connect your ORCID ID to your account. This means that anything you author with your account (ie, the Contributor record for the submission is pre-populated with information from your account) or peer review will link to your ORCID ID account. 

To do this, access your profile (per the instructions above) and open the Identity tab. Click the button that says Create or Connect your ORCID ID. A pop-up window will appear, asking you to log in to your ORCID account to authorize the connection.
